CFL Enterprise Limited is one of apparel industries where the company’s headquarter is located in Hong Kong. In growing the business, CFL Enterprise Limited established a Representative Office in Jakarta – Indonesia since early 2015. To support the office operations, currently we are seeking a competent person who can join us immediately to fill the position below.


Human Resources & Administration Officer


Position Title:  Human Resources & Administration Officer

Reports to:       Country Manager

 

Primary Responsibilities

To plan, manage and control all aspect of human resources, administration and finance of business activities of the CFL Enterprise Limited - Indonesia Representative Office, as well as to support the Country Manager to provide secretarial and administrative assistance to meet business and operational needs.

 

Responsibilities include:

 

  1. Human Resources Management
  • Manage the HR & administration related to recruitment process from selection process to preparing employment contract;
  • Administer and process HR related administration i.e. organize the induction process, probation assessment, reference letter, leave application, etc;
  • Handle payroll and other HR related payment i.e. social security, health program, etc;
  • Coordinate with local agency on all company legal & permit requirement including working permit & stay permit for foreign workers;
  • Handle application, submission, renewals & follow-up of office related documentations to government agencies or accredited agents;
  • Coach others on effective teamwork and cooperation;
  • Work closely with HR Team in Hong Kong for HR issues.

 

  1. Office Management & Administration
  • Manage all office equipment, maintenance, facilities and upgrade as necessary to support the business ;
  • Administer incoming communications such as phone calls, welcoming guests, arrange & coordinate meetings and function for Indonesia Office;
  • Maintain adequate supply of printing material, stationeries & office supplies;
  • Ensure timely & efficient internal communication of corporate information throughout the office;
  • Liaise and coordinate with the building management on lease agreement and other services such as telephone system, internet, electricity, air conditioning, etc ;
  • Organize staff weekly schedule, business cards and provide administration support to the broader office staff as practice;
  • Records keeping and files management;
  • Update policies and procedures for administration services to related staff;
  • Arrange & coordinate necessary flights/hotel bookings and other logistics for office staffs trips;
  • Organize the travel documents i.e. passport and visa application.

 

  1. Financial Management
  • Responsible for management of petty cash including prepare office expenditures reports on regular basis;
  • Check and ensure the accuracy of staffs trip expense reports;
  • Handle payment for billing statements and invoices including preparing the payment requisition request;
  • Act as the main contact for banking issues and transactions;
  • Prepare price comparison for purchasing office equipment and supplies;
  • Coordinate with tax consultant on tax payment and tax related issues.

 

  1. Support the Country Manager on other business related activities as needed.
  • Provide efficient day-to-day secretarial and administrative support;
  • Liaise and coordinate with landlord on the lease agreement of housing as well as handle the utilities i.e. water, electricity, internet, etc;
  • Gather and provide data to monitor economic and political trends in country that may have potential impacts on business or staff;
  • Provide data on budget estimation for office operational cost;
  • Follow up Daily Production status or WIP with all factories & QA’s and ensure timely submission to HQ Merchandising Unit & other involve parties;
  • Assist in inputting related information to company’s portal system whenever required;
  • Undertake special assignments ad-hoc functions and related duties as and when needed.

 

Qualifications & Experience

  • High Diploma or above with 5-8 years relevant experience;
  • Proficient in MS Office applications including Word , Excel, PowerPoint;
  • Good in both Bahasa Indonesia and English;
  • Good understanding of local labor law
  • Mature, hard worker, good team player and willing take challenge;
  • Able to work under pressure;
  • High level of independency.
